MEMBERSHIP & ELECTIONS
MEMBERSHIP
An individual who is or becomes a part of one of the following constituent groups during the PTSO Year shall be eligible for membership and become a member upon payment of annual dues in the WHS PTSO:

Parents or guardians of WHS students

Teachers and staff members of WHS

Students of WHS
ELECTIONS
Nominations take place at our March meeting and elections at our Annual Meeting in April each year. Members of the Executive Board shall serve for a one year term beginning July 1st and ending on June 30th of the following calendar year.
ELIGIBILITY

Must be a parent or guardian of a Woodgrove High School Student​

Must be a current member of the PTSO in good standing
EXECUTIVE OFFICER DESCRIPTIONS
PRESIDENT
The President shall preside over meetings of the PTSO and Executive Board, serve as the primary contact for the Principal, represent the PTSO at meetings outside the organization, and coordinate the work of all the officers and committees so that the purpose of the PTSO is served. The President shall send notices of meetings to the membership and be .
VICE PRESIDENT, EVENTS
The Vice President, Events shall assist the President, carry out the President’s duties in his/her absence or inability to serve, oversee all standing committee chairs, and will report to the President.

VICE PRESIDENT, FUNDRAISING
The Vice President will shall assist the President, carry out the President’s duties in his/her absence or inability to serve, oversee all standing committee chairs, serve as an ex-officio member of all committees except the Nominating Committee, unless vacating the office, and will report to the President.

SECRETARY
The Secretary shall take and record minutes of all meetings of the PTSO. They shall distribute these minutes to the Executive Board no more than five (5) days after each meeting. The Secretary shall keep all records of the PTSO including minutes, meeting agendas, and other relevant documents in accessible files. The Secretary shall send notices of meetings to the membership and be responsible for handling the Organization’s correspondence.

TREASURER
The Treasurer shall receive all money collected by the PTSO, keep an accurate record of receipts and expenditures, pay out funds only as authorized by the PTSO, present a financial report for approval at each monthly meeting with a copy to be appended to the minutes of each such meeting, and advise the Executive Board of special financial problems and budget considerations which are in need of resolution or which may affect decisions relative to specific expenditures. The Treasurer shall be responsible for preparation and submission of all Federal and State compliance filings including the annual tax return of the PTSO.

APPOINTED POSITIONS
PTSO REPRESENTATIVES
The PTSO maintains a team of representatives from both the Woodgrove school community to the PTSO, and those who represent Woodgrove in the larger LCPS community. Representatives from the school community are appointed by Woodgrove HS, and PTSO representatives to LCPS are appointed by the PTSO Executive Board.
FAMILY LIAISON
The Family Liaison is an LCPS staff member who works to connect students and families to the school community and identify tools and resources that will help all students achieve educational success.

STAFF REPRESENTATIVE
The Staff Representative is an LCPS staff member who acts as a liaison between the PTSO and the WHS staff. This individual shares information on behalf of the WHS staff with the PTSO, and shares information of relevance with the WHS staff, such as upcoming events and grants/financial support availability.

STUDENT REPRESENTATIVE
The Student Representative is a member of the WHS Student Council Association (SCA) who acts as a liaison between the PTSO and SCA. This individual provides updates on student activities and support needs to the PTSO, and is assisted by the WHS staff sponsor for the SCA.

MSAAC DELEGATE
The Minority Student Achievement Advisory Committee (MSAAC) Delegate is a community volunteer who acts as a liaison between Woodgrove HS and the MSAAC General Body to represent and advocate for the particular needs of minority students within their home school. Delegates attend monthly MSAAC General Body meetings, and also shares related school data or insights gathered from the MSAAC meeting and through conversations with teachers and parents with the PTSO.

STANDING COMMITTEES
Each standing committee is chaired by a parent volunteer who is appointed by the Board. Committee chairs preside over committee meetings, serve as the primary contact for the committee, represent the committee at PTSO meetings, and coordinate the work of all members of the committee.
