Family and student involvement are a critical part of the PTSO mission to enrich the educational environment and provide support, service, and opportunities to our Woodgrove community. Whether serving on the board, participating on a committee, or helping with an event or activity, volunteers ensure that the PTSO can continue to function and serve our school.

PTSO Position Descriptions
Times estimated below are for the specific role and do not include any additional volunteer hours for staff appreciation and other events, including set up & clean up and shopping for supplies. It also assumes that most roles are staffed – many hands make light work!
Membership meetings are held bimonthly and last about 1 hour. We’re hoping to alternate those with other events including presentations and partnerships with the Counseling & Career Center.
Officers:

President: keep the train on the tracks. Preside over all meetings, participate as needed with committees. Estimated time per month: 1.5 hours (mostly coordinating with volunteers/committee chairs)

Vice President – Events: Coordinate staff appreciation events, primarily. If other events are added to the calendar (this year we’re helping with a student-led bingo night), liaise as needed with the volunteer coordinator. Estimated time per month: 1 hour

Vice President – Fundraising: Coordinate fundraisers. This includes sharing information with other chairs and school staff for promotion, contacting fundraising partners (Hersheypark, Crumbl, Novastar Prep, senior sighs) to schedule fundraisers, and working with the events VP and volunteer coordinator as needed. Estimated time per month: 1 hour

Treasurer: Keep accurate records, file taxes, reimburse expenditures, share updated financial statements at membership meetings. Estimated time per month: 2.5 hours

Secretary: Draft meeting agenda, keep and share meeting minutes. Bylaws also include overseeing senior scholarships, but this can be handled by any volunteer who does not have a senior at Woodgrove. Estimated time per month: 30 minutes
Committee Chairs:

Membership: Draft membership materials for back to school events. Share updates/materials with social media/school partners. Strategize on membership drive. Estimated time per month: less than 30 minutes.

Scholarships: Share scholarship applications with the career center and LCPS. Update scoring tool if needed. Recruit scholarship readers to score scholarships. Review scores and identify recipients. May need to be a 3rd reader on some scholarships. Estimated time per year: 5 hours. Scholarship readers should plan for about 3 hours.

Social Media: Promote PTSO events and fundraisers, share other school information as needed. Estimated time per week: 2 hours if you’re creative!

Volunteer Coordinator: Liaise with other board members to create sign-up geniuses or requests for volunteers. Share info with Social Media chair and school partners as needed. Mostly we’re just updating old sign-ups. Estimated time per month: 30 minutes. This is a easy secondary role for the events VP.

Website: Update website as needed, including products for fundraisers. Run reports for other board members. Estimated time per month: 1 hour

Woodgrove Weekly Editor: Update the weekly newsletter with current information. Estimated time per week: 2 hours.

Staff Representative: Attend meetings and share information with school staff. Estimated time per month: less than 1 hour.

MEMBERSHIP & SUPPORT
FUNDRAISING COMMITTEE
Are you looking for an exciting way to help the school? Are you organized, thorough, and creative? Do you like working with others? Whether you have experience in fundraising, or just have a desire to make a difference at Woodgrove High School, the PTSO needs Fundraising Committee members! You would be working with a team of committed individuals to plan, guide, and direct the fundraising needed to allow us to provide the funding needed to Grow the Grove.
HOSPITALITY COMMITTEE
Are you a social person who likes to organize celebrations and plan events? Do you have skills and experience in the area of hospitality? Put your skills to use for the benefit of our school! Woodgrove High School PTSO is looking for parents to join our team and help make the school a welcoming place for parents, teachers and students.
MEMBERSHIP COMMITTEE
Why is parent involvement so important in high school? Because studies clearly show that parent involvement is good for your child. Membership is the heart of the PTSO. As a member of the Membership Committee you'll help parents answer the question, "What's in it for me?" Membership is not really about the PTSO -- it's about how the members can support the school and the students. You will help guide and direct the Membership Committee in a successful membership campaign, reach out to parents and “market” the PTSO, and help parents find ways to ensure involvement can fit into their busy schedules.
VOLUNTEER COMMITTEE
As a member of the Volunteer Committee, you will help recruit and retain volunteers for school events and Western Loudoun community organization activities.
CLASS OF 2026
SENIOR CELEBRATIONS COMMITTEE
Are you a Senior or Parent of a Senior? Do you like to plan and coordinate? This committee will spearhead the planning and fundraising for the After Graduation Party for this year’s graduating class. This committee will coordinate with the PTSO Executive Board, and Fundraising chair to ensure that the funds, and support are there in order to provide the seniors a night to remember.
SCHOLARSHIP COMMITTEE
Love to read? The scholarship committee is looking for parent volunteers to help read and score applications for our PTSO scholarships. This committee is active in the late third to early fourth quarter of the school year, with limited time period for application review. This committee will coordinate with the PTSO Executive Board to award students with one-time monetary awards. No senior parents, please.
TECHNOLOGY & COMMUNICATIONS
WEB & SOCIAL MEDIA COMMITTEE
As a committee member you'll learn how to effectively use technology and social media to communicate effectively with families to support our school and Western Loudoun community news and events. Communication is the critical link between school and families, and the PTSO aims helps bridge the"information gap" by providing updates quickly across multiple platforms.
WOODGROVE WEEKLY COMMITTEE
Are you "in the know" about the Woodgrove and Western Loudoun communities? The PTSO is looking for parents and students interested in sharing current happenings, student achievements, upcoming events, and other opportunities through our e-newsletter, the Woodgrove Weekly. Volunteers assist with graphic design, curating information and opportunities, copywriting, editing, and planning this weekly publication for PTSO members.
SPECIAL COMMITTEES
The PTSO will be forming various Special Committees throughout the year in order to work on various specific projects and programs. If you are interested in serving on one of these committees please contact the WHS PTSO for more information.
